This document is intended to set out the basic understanding of the expectations of club coaches and members.
The club will contribute to the cost of coaching qualifications for coaches, both current and future, in reflection for the support provided to the club historically and/or future support anticipated to be provided. There is no minimum requirement to be eligible for funding and the coach will be expected to meet any shortfall in funding either from grants/sponsorship raised by them or personally. The basis on which any coaching course is to be funded must be agreed in advance by the club committee and the coach involved.
There are 2 types of training session, namely “coached” and “un-coached or guided” sessions. While coaches may be present at both, the fundamental difference is that a coached session is run by coaches and is covered by the club’s insurance. Any member attending a coached session is agreeing to follow all reasonable requests of and to co-operate with the coach running that session. In the unlikely event that a coach believes a member is disrupting a session the coach is entitled to provide the member with a warning and if it continues to ask the member to leave the session. This is subject to compliance with basic safety requirements, i.e. if the group is running in an area the member is not familiar with they should not be left to get back on their own.
A guided or un-coached session is a training session involving members of the club but not run by a coach. (bit more info…) It is not possible to coach while riding a bike and as such, unless indicated otherwise all bike sessions are guided even when led by a qualified coach. Run and swim sessions led by a coach should be assumed to be coached sessions unless indicated otherwise.
Coaches are entitled to attend both coached and guided sessions as members, separate from their role as a coach. Should they do so they may offer support to the coach for the session, but the coach of the session is in charge and they should avoid undermining this.
Where a member undertakes any activity outside of the club with other members and/or coaches it is on the basis that it is not associated with the club. This does not mean, for example, they are banned from wearing club colours. However, it will not be covered by the club’s insurance and if anything goes wrong there will be no liability to the club.
Coaches are free to publicise their own business activities to club members. However, advice given to any member or other coach during a training session will be regarded as part of the session and cannot be charged for. Should any coach and club member agree to any business arrangement outside of the club sessions then it is the obligation of the coach to make the member aware of any charges that will apply before the arrangement is entered into.
Members must remember that coaches provide their support for free. Any requests of a coach should therefore be reasonable and members should avoid putting any unnecessary pressure on coaches.
Coaches may wish to run training programmes from time to time for research or personal development purposes. Participation in this is entirely voluntary.
Coaches are authorised to video members for training purposes. Should any member object to this they must inform the coach involved. The coaches are not authorised to use video of club members for any purpose other than club and member coaching without the written permission of any such member.
Where there is any issue between a coach and a member this may be dealt with as follows, with the appropriate option likely to be case specific:
- The member changing groups, to be coached by someone else;
- The matter being referred to the Head Coach;
- A complaint being referred to the Committee.
Although there is no minimum requirement upon coaches’ time, it is expected that when the Club provides funding for individuals to gain coaching qualifications that an appropriate return is provided to the Club and its members. Similarly, the Club appreciates and supports coaches to pursue personal goals that may mean a hiatus for a period of time. The needs and wishes of the coaches should be discussed with the Head Coach to ensure there is a good open relationship where the mutually supportive arrangements can be made clear and understood by all before financial or time commitments are made.
